Condense or Cleanup QuickBooks has a built-in utility that will reduce the file size of your QuickBooks data file. The QuickBooks condense operation condenses closed transactions into summary journal entries. If any list items are not used, they are deleted from QuickBooks (lists: customers, employees, vendors). There are some transaction types the Condense operation will not remove.
The QuickBooks condense data error, however, is quite commonplace and occurs one attempts to condense large files. To maintain the optimum performance of the QuickBooks application, Intuit provides the QuickBooks Condense Data Utility, also referred to as Condense Repair Tool. While trying to archive the data file, errors such as “QuickBooks encountered a system error when trying to archive your data file”, “QuickBooks encountered an error and was unable to successfully complete the condense process”, “your company file has been restored to its original pre-condensed state”, or “not enough storage is available to complete this operation”
SuperCondensing a data file is an enhanced version of the QuickBooks condense where transactions prior to a cut-off date are removed from the data file. This will result in a small QuickBooks data file and improve speed and performance in QuickBooks. It will also make the file less prone to errors or corruption, and easily upgrade to newer versions of QuickBooks. A SuperCondense also lets you reduce the target counts to upload your data file to QuickBooks Online.
The SuperCondense, alternatively, is a safer and better alternative to reducing the size of a data file to almost 50 to 80 percent of the original file size. This is a process that will significantly reduce the file size of a QuickBooks data file resulting in higher responsiveness and faster performance, higher network stability, and less prone to data corruption issues. It also allows inactive customers, vendors, items to stay under the 14,500 limit for Pro or Premier and can convert large files to QuickBooks Online.
